Tutorials - Folder Replica
Folder replica is a folder synchronization program that is designed to make you your life easier in daily file manipulation routines. Advancement in HDD drive technology has made hard drives a cheap, fast and accessible backup option. The flexibility to copy and change data on to your backup device has brought new problems of how to avoid unnecessary data transfer every time you want to make a fresh copy of your data.
Folder Synchronization in folder replica offers ways to find duplicates within your folders, and analyze your backup locations so that you don't transfer files which you already have, also If you have changed names or reorganized folders of your data, Folder replica can detect these changes and offer renames and new folder creation on target backup folders.
Further more you can make lists of folder locations that you want to synch and schedule daily synchronizations.
BACKUP (ADVANCED) A to B:
- Changes only B
Copies all files from A, that are missing from B, into B. If a file is found in B that is also in A the file is moved to correspond to the location present in A, this way you save time and file is not copied again. All data that is in B before synch actions and is not in A is deleted. Note that no changes are done to location A. Use this if you want update your backup folder B but you are not sure what files in A are new and you don't have the time to recopy the whole folder(Useful for large Terabyte or larger backups). This mode is faster then regular copy since it intelligently moves same files in B even if you changed folder names in A. Same files are identified by parameters chosen in configuration window.FOLDER SYNCH:
- Changes A and B
Copies all files from A to B that are missing in B . Copies all files from B to A that are missing from A. If a file has same name and location folder, a conflict resolution set up in parameters determines which file stays. If all same name files (old and new) should be kept, it is possible to keep both conflicting files by adding modified timestamp. Use this to synch your work place and home folders.COPY MISSING
- Changes only B
Scans A for files that are not in B and copies them into B. If a file that is missing has the same name as file already in B it is copied with reanamed filename (Filename+Modified)DELETE DUPLICATES in B
-Changes only B
A and B are scanned for same files. If a match is found file is deleted from B. Use this if you want to find duplicates in B folder that is not a subfolder of A. * If you just want to delete duplicates within A folder go to menu Actions/Diagnostics->Delete duplicates within A
Main screen of folder replica has a basic view on two Locations, A and B which will be the source and in some cases also destination of your files, depending on the type of synch method (one way or two way)
Location A and B is selected by Clicking on the desired folder in the tree view on each sides respectively.
Between the two Folder trees you have a group radio box to select the synchronization method between these two locations. (You can find descriptions of synchronization modes by right clicking on radio box and selecting Show descriptions.
*note - Single folder operations and diagnostic operations can be chosen in menu "Actions/Diagnostics".
Between the markings for location A and B you will find a check box that determines if you want include subfolders of selected locations in the synchronization job.
In the middle part of the screen you will find buttons Analyse/Synchronize Now , which will start folder scan and analysis, and depending on the configuration you selected will prompt you with proposed list of actions that need to be confirmed before execution. The next button is Add to Synchronize job list .
By using this option you can add as many different synchronizations as you like and you can start them later in sequence.
If you have chosen View-Normal you will find The Job list bellow the Add to job list button. With buttons bellow the job list you can delete the selected job from the list, stop all job actions if you want to interupt current sync job, schedule it for latter execution or start job processing immediately.
* NEW! - For version 1.05 and above it is now also possible to easily stop all actions with a space key press
Each of the synchronization steps are reflected in the progress bar . To se more clearly what is going on you can review the Activity log at the bottom of the screen (note* that some of the steps may happen faster and some slower but this screen can help you verify what is going on at the moment)
Configuration - Lets you select options for synchronization. Confirm actions group lets you chose for what type of action the user will be prompted. The most important option is to select Action list confirmation. If this is true you will be shown a detailed list of every action that will performed by the synch job and you individually check of actions that you don't want to be performed.
Identify same file criteria is an important section because based on these options program will determine if two files are a same file match. Be very careful what you choose here because accuracy (and speed of analysis) depends on this setting.
Same filename and conflict resolution, this group option is relevant for Bi-directional folder synch where you specify if newer files should be favored as opposed to older files in same name conflict resolution. it is also possible to keep the other file (which would be normally discarded as old for example) by checking the Also keep other file. Synchronization of two folders with this option checked would leave the other conflict file with added modified date time to the file name. This is useful if you don't want to lose any data
Job list schedule allows you to check on what days the schedule would activate job list processing, you can also enter exact time at which the synchronization will start. Please note that in order for scheduled job to be executed jou must enter time in exact format of your Windows Regional Settings. You can quickly check the format by clicking on activate schedule and time counter will display the correct time format. After you saw your correct time format you can deactivate schedule, enter your desired time in the input box and activate the schedule again.
* For Example here you can see the correct format on our tutorial test PC, your correct format may be different but make sure to enter time in the format as it is displayed on your computer.
Logs can be automatically saved in program folder location after each scheduled job.
Export Log - as a txt file
Save job list - Saves the job list on your desired location. (*jbl file extension)
Load Job List - Loads job list from a specified file (*.jbl file extension)
Add to favorites - Allows you to add a user defined name for your favorite sync selection and store it, so it can be executed quickly at a later time from the Favorite synchronizations window.
Favorite synchronizations - Open the favorite synchronization window, where you can see the list of currently saved sync favorites. You can , execute, delete and save them using the buttons, bellow. Mouse click or keyboard arrow up/down will show you the details of the selected favorite.
You can also drag and move row up and own by clicking on the first gray cell of each row and while holding the left mouse click you can drag it to the desired position.
Matching same files that should be analyzed as same file pair is done according to selected options for same file identification in configuration screen. Selecting all 3 options (Size,Name,Modified Date Time) will give you 99,99% valid matches. However for the sake of speed you can use 2 options (Size, Modified) with pretty high probability to match files, especially if you are comparing folders you have just backed up and you wish to verify if some the files are corrupted.
So to Do a CRC match Check:
Step 1 - Verify your choice for same file identification in Configuration window
Program will analyze and match files (time will depend primarily on the number of files in Folders)
Step 4 - Click on Start CRC comparison button and wait for it to finish.
A status field will show OK! if match is found, Different if CRC doesn't Match, And no match found if there is no corresponding file on location B. You can review the crc result by previewing files from location A or B at any time to se if they are indeed valid matches.
Action window is a universal list of actions that will be performed on the files and folders you selected to synchronize. Depending on the option you chose, program will analyze and list proposed actions that should be done with a check box to the left. You can preview file in each action in order to determine if this action should be processed. If you don't wish to process a certain Action you must uncheck the field in front of it. All Checked Actions will be performed. When you are sure that you want Actions to be performed you can click on the bottom button "Confirm/perform Actions". After this actions will be performed.
How to read actions:
Copy SourceFilePath * DestinationFilePAth (Copies a file)
Please note that some Actions will be grayed out since the are a perquisite for File Copy or Subdirectory creation.
Folder replica offers two different ways to find duplicate files and delete them.
Option 1 - delete within a single folder
You select this option by going to the menu Actions/Diagnostics and clicking on delete duplicates within A. Previously selected location A is analyzed according to the same file criteria selected in configuration window.
After analysis is completed you will be prompted(if prompting is checked in configuration) with a list in the form bellow:
You can preview both and determine if you want to delete them or not. For both methods you can switch the file from original to duplicate by right clicking on the original file in the action list window.
Option 2 - delete duplicates in B
This option involves both A and B location to match same file between them. A and B are scanned for same files. Action list is formed and all files that are in B and Are also in A (hence duplicates) are proposed for deletion in B. You can also switch original to duplicate same as mentioned above.
In order to get the fastest synchronization there are several things you should take note of depending on the type of synchronization mode you have selected.
Backup (Advanced) A - >B :
For all modes
There are two ways to do this:
Option 1. To transfer your Settings(favorites etc..) and licence to a new version you should select these Files from the old Version folder:
config.ini and lic.txt
And copy these two files to the new version folder (Overwrite)
OR Option 2. You can only extract the FolderReplica.exe file from the NEW version folder into the OLD folder and overwrite the old executable
